Guide to the Subcontractor Portal


Welcome to the Subcontractor Portal. This is your hub for managing your team, uploading your compliance documents, and tracking your work on sites assigned to you by the Main Contractor.

This guide will walk you through what you can do in your web portal and mobile app.





Part 1: The Admin Portal (Web Console)


When you log in to the web console on your computer, you have a dashboard tailored to your company.


1. Dashboard View


Your dashboard gives you a clear overview of your team's activity.

  • Activity Stream: Shows real-time updates specific to your users and accessible sites.
  • Engagement Score: Track how well your team is adopting the system.
  • Filters: You can filter dashboard data by specific sites or date ranges.

2. Managing Your Team (Team & Users)


You have full control to manage your own workforce.

  • Add New Users: Click the Orange Add icon to create logins for your staff.

    User Roles: You can assign your staff to the following roles:

    • Contractor
    • Field Worker
    • Tablet Manager
    • Subcontractor (Admin)

Note: Any user you add is automatically linked to your company.


3. Sites

You can view the sites that the Main Contractor has assigned to you.

  • Hazards: View all identified hazards on your sites and monitor your team's acknowledgements.
  • Resources: Access site-specific documents and plans.
  • Restrictions: You have view-only access. You cannot create new sites or view visitor records for other companies.

4. Uploading Resources & Documents

This is where you manage your compliance.

  • Upload: Upload your company's insurance, certificates, and permits.
  • Track Status: Monitor the approval status of your documents (e.g., waiting for the Main Contractor to approve).
  • Corrective Actions: Manage non-conformances and improvement items for your team.

5. Messaging Your Team


You can send messages to your staff directly from the portal.

  1. Click the Message Icon in the top right corner.
  2. Select "Send a Message to Your Team".
  3. Compose your message (you can attach forms or resources).
  4. Select the recipients and click Send.


Part 2: The Mobile App


Your team on the ground can use the Site App Pro mobile app to complete their daily work.

Key Mobile Features


  • Home Screen & To-Do List: Your team can see their daily tasks and outstanding forms immediately upon login.
  • Check-In & Check-Out: Easily track attendance by checking in when arriving at a site and checking out when leaving.
  • Offline Mode: Complete forms even without an internet connection. Data saves locally and syncs automatically when the connection is restored.
  • Messaging: Receive updates and view attached resources directly on your phone.
