Setting the Reference Number Prefix

Note: Prefixes only appear against Workflows. They are not compatible with singular forms.

This feature allows you to set a Prefix for your workflows so you can track reference numbers. This is useful if you want a sequential reference number for each completed workflow. This will allow you to easily find all linked forms when generating reports.

This feature is designed to link forms within a workflow using a Reference number and a customised Prefix. For example, for all the forms relating to an Incident, you may want to track using the Prefix "INCD"

For example: if your Incident Workflow has multiple forms

  • Incident Report (kickstarting form)

  • Incident Investigation

  • Incident Conclusion

A prefix allows these forms to be marked with the same Prefix number/ID making them easier to locate and report on.

To set a Prefix for a form:

  1. Log into your Admin Console

  2. Head to the Forms page

  3. Add or click the pencil icon against a form

  4. Click the Advanced Settings tab

  5. Open the Expiry & Prefix tab

  6. Input your desired prefix in the Prefix field (E.g. "INC" for Incidents)


Reporting:

When completing a workflow with a prefix, all forms within that workflow are marked with the Prefix and a number. (E.g. INC - 0001)

To find this:

  1. Log into the Admin Console

  2. Navigate to Reports

  3. Find the folder icon, with the prefix number
