For: Admins and Managers
Repeating schedules let you automate recurring work so tasks are created and assigned automatically — no manual input each time. Schedules can repeat on a fixed date cycle or trigger based on a compliance field like odometer reading or usage hours.
Schedule types
Site App Pro supports two types of repeating schedules:
Type | How it works | Example |
Date-based | Repeats at a fixed time interval — daily, weekly, monthly, or custom. | Monthly vehicle safety inspection |
Compliance-based | Triggers when a tracked compliance field — like odometer or usage hours — reaches a set value. | Service every 500 usage hours; RUC renewal every 1,000 km |
Setting up a repeating schedule
Repeating schedules are configured in the Schedule & Notify section during task creation.
Log in to the Admin Console
Navigate to Equipment and select Task List
Click Create new task and complete the Task Details section
Click Next to go to Schedule & Notify
Toggle on Repeats
For a date-based schedule, set the repeat interval — for example, every 3 months
For a compliance-based schedule, select the compliance field (for example, Odometer) and set the interval — for example, every 1,000 km
Set the Early Access Threshold — how far in advance of the due date or value the task becomes available to start
Click Next, complete the Files & Forms section, and click Create Task
Note: For compliance-based schedules, the relevant field must be enabled on the equipment category first. Go to Equipment > Settings, select the category, click Edit Properties, and toggle on the required field.
Editing a repeating schedule
Changes to a repeating schedule apply to future and planned instances only — completed tasks are not affected.
Log in to the Admin Console
Navigate to Equipment and select Task List
Find and open the task
Click the Schedule & Notify tab
Click Edit Schedule under Original Schedule
Select Continue to open the original task
Make your changes and save
