Role Descriptions
Admin
The Admin holds the highest level of access and is automatically created during account registration. Additional Admins can be added via the Team & Users page in the Admin Console.
Key features:
Full access to the Admin Console
Full access to the Mobile App
Complete payment and billing management
Can use the same credentials across multiple Site App Pro accounts
Best for: Account owners, senior management, and IT administrators who require complete system control.
Manager
The Manager access level provides extensive permissions similar to Admin, with certain administrative restrictions.
Key features:
Full access to the Admin Console
Full access to the Mobile App
Cannot view or modify payment details
Cannot add or edit Admin users
Best for: Department heads, project managers, and supervisors who need broad system access without billing responsibilities.
Tablet Manager
The Tablet Manager access level is designed for mobile-first users who need comprehensive mobile app functionality without requiring access to the Admin Console.
Key features:
Mobile App access only — no Admin Console access
Full mobile permissions: add, edit, and view all content
Can manage sites, users, suppliers, and equipment through the mobile app
Access to all completed forms, including incidents and staff training records
Best for: Site managers, team leaders, and foremen who work primarily in the field.
Field Worker
The Field Worker access level is intended for frontline staff who complete forms using tablets or personal mobile devices.
Key features:
Mobile App access only
Can complete and submit forms
Cannot add or edit staff records
Can only view their own completed forms in the Saved Forms page
Best for: On-site workers, technicians, and staff who need to complete documentation and forms.
Contractor
The Contractor access level functions identically to Field Worker, with one key difference: contractors can use the same email address across multiple Site App Pro accounts.

Same permissions as Field Worker
Single email address can be used across multiple organisations
Mobile App access only
Can complete forms and view their own submissions
Best for: External contractors, consultants, or temporary staff who work with multiple companies using Site App Pro.
Internal Verifier
The Internal Verifier access level is designed for managers who oversee multiple sites and require visibility into form completion and compliance across the organisation.
Key features:
View-only access to the Admin Console
Cannot add or edit user accounts
Cannot view payment details
Mobile App access available if a staff record is created
Can access multiple organisations with a single login
Best for: Quality managers, compliance officers, and regional managers who need oversight capabilities.
External Verifier
The External Verifier access level provides auditors and external compliance reviewers with secure, read-only access to your reports and documentation.
Key features:
View-only access to the Admin Console
No Mobile App access
Cannot add, edit, or modify any data
Secure audit trail for compliance purposes
Best for: External auditors, regulatory inspectors, and third-party compliance reviewers.
Choosing the Right Access Level
When assigning access levels, consider:
Level of access needed — does the user need Admin Console access, Mobile App access, or neither?
Editing permissions — should they be able to modify system settings and user accounts?
Scope of work — are they working on a single site or managing multiple locations?
Billing responsibility — do they need access to payment and subscription information?
Compliance requirements — is their role related to auditing or verification?
External interaction — do they only need to respond to one-off requests such as approvals or document uploads?
