If you're onboarding a large team, you can add up to 1,000 users at once by uploading a CSV file rather than adding them one at a time — as long as you have enough free seats. Each user you upload gets their own login for the mobile app.

How to start a bulk upload
Log in to the Admin Console.
Go to Teams & Users.
Click the drop-down arrow next to the Add User button.
Click Bulk Upload Users.
Click Download CSV Template.
Complete the required fields in the template (see below).
Filling in the template
Complete the downloaded template using the fields below. Do not rename, delete, or reorder the column headers — the upload will fail if the format does not match exactly. One user per row.

Access levels — enter one of the following, spelled exactly as shown:
Field Worker — mobile app only: complete forms, check in/out, access resources.
Manager — view reports and manage sites from a computer.
Tablet Manager — elevated access on a tablet, not a full computer.
Admin — full access, including billing. Keep this to people who genuinely need it.

Formatting rules
CSV only — save the file as CSV (.csv) before uploading. You can create it in Excel, Google Sheets, or Apple Numbers.
Don't change the headers — renaming, deleting, or reordering columns will cause the upload to fail.
One date format — use a single date format across the whole file (e.g.
18 Jun 2025), and match it to the Date Format dropdown when you upload. This applies to Start date and Last induction date.Keep cells clean — avoid extra spaces or hidden characters in any cell.
Start small — upload 5–10 users first to check your formatting before doing the whole team.
Seats and limits — up to 1,000 users per upload, provided you have enough free seats. If you have more, split the file across multiple uploads.
Common mistakes to avoid
Mixed date formats in the same file (e.g.
06/18/2025alongside18/06/2025).Missing a required field — First name, Last name, Email, or Access level.
Supplier names that don't match an existing supplier exactly.
Uploading the file
Return to Teams & Users.
Click the drop-down arrow next to Add User and select Bulk Upload Users.
Set the Date Format dropdown to match the format you used in your file.
Upload your completed CSV file.
Review the confirmation screen for any errors before proceeding.
If any rows contain errors, they'll be flagged on screen. Correct the affected rows in your CSV and re-upload.
After the upload
Uploaded users appear in your Teams & Users list straight away. Each person receives an introduction email from Site App Pro — they should download the app and set their password using the Forgot Password link on the login screen.
