Sub-contractor portal guide

Audience: Subcontractor Admins / Suppliers

The Subcontractor Portal gives you a central place to manage your team, upload compliance documents, and view the sites assigned to you by your Main Contractor. This article covers both the Admin Console (web) and the Site App Pro mobile app.


Admin Console

Viewing Your Dashboard

When you log in to the Admin Console, your dashboard shows activity specific to your company.

  • Activity Stream — Real-time updates for your users and accessible sites

  • Engagement Score — Tracks how well your team is adopting the system

  • Filters — Filter dashboard data by site or date range


Adding and Managing Team Members

  1. Go to Teams & Users in the main navigation.

  2. Click Add User.

  3. Enter the user's details (email, password, name)

  4. Assign an Access Level:

    • Contractor

    • Field Worker

    • Tablet Manager

    • Subcontractor (Admin)

  5. Click Save.

Note: All users you add are automatically linked to your company.


Viewing Your Assigned Sites

  1. Go to Sites in the main navigation.

  2. Select a site to view its details.

From a site, you can:

  • Hazards — View identified hazards and monitor your team's acknowledgements

  • Resources — Access site-specific documents and plans

Note: You have view-only access to sites. You cannot create new sites or view visitor records for other companies.


Uploading Compliance Documents

  1. Go to Resources or Documents in the main navigation.

  2. Click Upload.

  3. Select your file (e.g. insurance certificate, permit).

  4. Click Submit.

To check the status of an uploaded document:

  1. Go to the same section.

  2. Find your document in the list.

  3. Review the Status column (e.g. Pending, Approved).

Note: Document approval is completed by your Main Contractor. You will be notified of any changes to the status.

To manage Corrective Actions, go to the Corrective Actions section to review and respond to any non-conformances or improvement items assigned to your team.


Sending a Message to Your Team

  1. Click the Message icon in the top right corner of the Admin Console.

  2. Select Send a Message to Your Team.

  3. Compose your message. You can attach forms or resources if needed.

  4. Select your recipients.

  5. Click Send.

Downloading the App

Search for Site App Pro, or SiteAppPro in your device's app store:

  • iOS — Apple App Store
