View & Acknowledge on-site Hazards using the digital Hazard Board

What is a Digital Hazard Board?

With the Digital Hazard Board, you can generate new Hazards from either the Web or Mobile platforms. These Hazards are then shared among all users on the Site. Whenever a user visits the Site, they will be able to view all Hazards. The Hazards that they have not acknowledged will be highlighted to prompt them to take action.


Adding and Editing a Hazard from the Mobile

If your team discovers a new hazard on site, they can quickly add it to the Hazard Board to ensure everyone is aware of it. You can access your Hazards from either the: 

  • Home Page 
  • The menu on the To-Do list

This page will show you all Hazards that have been added to this site. 

To add a new Hazard
  1. Go to the Hazard Page 
  2. Click New in the top right corner 
  3. Click the Description and select your Hazard (these are pulled from your Hazard list
  4. Continue completing the Hazard details in the fields required

Once you add a new Hazard to the Site any other user on that site can see it. It will advise them there is a new Hazard to acknowledge on their Homepage.


Editing a Hazard

You can edit Hazards from the Mobile App or on the Web. There are permissions around who can edit Hazards on the Mobile App, This includes: 

  • You can edit the Hazard if you are the one who created it
  • You can edit any Hazard if you are an Admin, Manager or Tablet Manager User Role 
  • From the Mobile you can make a Hazard not live only Admin & Managers can make a published Hazard a draft on the Admin Console 
Note: Hazards can't be added when you are in offline mode. If a Hazard is edited, it will be published again as a new Hazard for users to acknowledge again. 

Adding a Hazard from the Web

If you know of a Hazard that will affect your team on-site, you can add these Hazards from the Computer Login.  

To add a new Hazard
  1. Log in to the Admin Console (Computer Login)
  2. Go to Sites 
  3. Click the pencil icon next to an existing Site 
  4. Click Hazard Board 
  5. Click Add New in the top right corner 
  6. Continue completing the Hazard details in the fields required

Import Hazards from another Site 

Previously added Hazards to a similar site? Import the already-added Hazards to your new Site.

  1. Log in to the Admin Console (Computer Login)
  2. Go to Sites 
  3. Click the pencil icon next to an existing Site 
  4. Click Hazard Board 
  5. Click Import 
  6. Select the Site you want to pull the Hazard from - or - select 'All Sites' 
  7. Search or select the Hazards you want to import to the site 
  8. Click SAVE
Once you add a new Hazard to the Site any other user on that site can see it from their Mobile. It will advise them there is a new Hazard to acknowledge on their Homepage. 
Note: When importing Hazards select one Site to see all previous Hazards from that site - or - select All Sites to see all Hazards in the last 90 days. 

Acknowledging & Viewing Hazards

Users can use the mobile app to acknowledge any hazards that have been added to their current site.

How to engage with Hazards on site? 
  1. Check your Homepage to see if any new Hazards have been added 
  2. You'll see a red button identifying the # of new Hazards 
  3. View any live Hazards 
  4. Scroll down to the bottom 
  5. Click read & acknowledge to acknowledge any new Hazards 


Viewing Individual Hazard Acknowledgements

You can view who has acknowledged Individual Hazards from the Admin Console (Computer Login). You can do this by: 

  1. Log In to Admin Console 
  2. Go to Sites
  3. Click on the pencil icon
  4. Go to the Hazard Board tab
  5. Click the Acknowledgments Button to the right of the hazard you wish to see acknowledgments for.
  6. This will download a CSV list of names who have acknowledged each Hazard on the Hazard Board
Note: If you have edited a Hazard, this will republish the Hazard as a new Hazard. This means the acknowledgments will reset to 0 until the new updated Hazard has been acknowledged. 

Exporting a Hazard Board

You can export a PDF or CSV copy of your Hazard Board to email or print off. This will show a list of all Hazards live or not live to show a report of what Hazards have been live on this Site. 

To export the PDF Hazard Board

This export is great to show a summary of Hazards that are on your Site and how many users have acknowledged them. 

  1. Open your Hazard Board on the Admin Console 
  2. Click the view icon in the right corner 
  3. Click print to print or download the Hazard Board as a PDF 

To export the CSV Hazard Board

This is great to show who has acknowledged what Hazard at what time on site. 

  1. Open your Hazard Board on the Admin Console 
  2. Click the acknowledgments icon in the right corner to download to a CSV (spreadsheet)
Note: If you don't want a Hazard to show on the PDF Report then set it to a Draft. Draft Hazards will not be exported in the PDF Hazard Board Report but will be included in the CSV export. 

Hazard Board Details 

Here's a breakdown of what each field means in your Hazard Board.

Order By  You can sort your Hazard Board by either the time they were added or by the level of risk they pose.
Only show live Hazards This toggle will only show Hazards that are currently live on site right now
Description This is the name of the Hazard, You can update the populated fields by customising your Hazards on the Resources page
Status - Draft Draft Hazards don't display on the Mobile App or the PDF export of the Hazard Board. A Hazard can only be set to Draft from the Admin Console (Computer Login) 
Status - Live These Hazards will show on the Mobile App to all users and will export in the PDF of the Hazard Board
Status - Live Until These Hazards will show on the Mobile App until the 'end date' you've set. Once they've reached the end date their status will change to 'Not Live'
Status - Not Live These Hazards will not show on the Mobile App but will appear in the PDF of the Hazard Board to indicate they were life previously
Hazard Categories These are not customisable but can be used to further group Hazards
Control Measures These are all control measures you need to mitigate the risk. You can select as many as needed for this Hazard. You can update the populated fields by customising your Action Control Measures on the Resources page
Residual Risk Impact This is the Risk Score associated with the hazard once the control measures were applied. This field is non-customisable
PPE Requirements Multi-Select from the list of PPE. You can create your own PPE by adding it to the add other PPE field 
Images Upload Images of the Hazard or Controls to the Hazard Board by uploading them from your Computer or taking them on your Mobile Device
About This gives you a history of who created & last updated the Hazard on the Hazard Board

Viewing Hazard Board Summary

You can easily monitor the 10 most recently added Hazards by accessing the Hazard Board Summary from your Dashboard. This summary is a helpful tool to keep track of the latest hazards added to your account through the web or mobile. When you click on a specific hazard, you are directed to that particular site's hazard board so you can easily access and edit the uploaded hazard.

This summary view will show you: 

  • Risk Impact Score
  • Hazard Description 
  • Site Name
  • Status
