View & Acknowledge On-Site Hazards using the Digital Hazard Board

What is a Digital Hazard Board?
The Digital Hazard Board is your live, on-site tool for managing safety. You can generate new hazards from either the web or the mobile app, and these hazards are immediately shared with all users on that specific site.
This ensures that whenever a worker arrives on-site, they can see an up-to-date list of all known hazards.
- Hazards a user has not yet seen will be highlighted to prompt them to review.
- This creates a live, auditable record of who has acknowledged what, and when.
For Mobile Users: Acknowledging and Adding Hazards
This is the primary workflow for your team on-site.
How to Acknowledge New Hazards
- Open your Site App Pro mobile app.
- On the Home Page, you will see a red button identifying the number of new, unread hazards (e.g., "3 New Hazards").
- Tap this button to open the Hazard Board for your current site.
- View all live hazards.
- Scroll to the bottom and tap "Read & Acknowledge" to confirm you have reviewed the new hazards.
How to Add a New Hazard from the Mobile App
If your team discovers a new hazard on-site, they can add it immediately.
- From the Home Page, tap on the Hazard Board.
- Tap New in the top-right corner.
- Tap Description and select the hazard from your pre-set list.
- Continue completing the required fields, such as control measures and risk scores.
- Once saved, the new hazard will be live and will appear as a "New Hazard" for all other users on that site to acknowledge.
Editing a Hazard on Mobile
- You can edit any hazard that you created.
- Users with Admin, Manager, or Tablet Manager roles can edit any hazard.
- From the mobile app, you can make a hazard "Not Live."
Important Notes:
- Hazards can't be added or edited when your device is in offline mode.
- If you edit a hazard, it will be republished as a "new" hazard. This means all users (even those who acknowledged the original) will be prompted to acknowledge the updated version, and the acknowledgment count will reset to 0.
For Administrators: Setting Up Hazards on the Admin Console
If you know of upcoming hazards for a project, you can pre-load them from the Admin Console.
How to Add a New Hazard from the Web
- Log in to the Admin Console.
- Go to Sites and click the pencil icon next to the site you want to edit.
- Go to the Hazard Board tab.
- Click Add New in the top-right corner.
- Complete the hazard details, including control measures, risk, and PPE.
- Set the Status to "Live" to publish it immediately.
How to Import Hazards from Another Site
If you have a similar site or project, you can save time by importing its hazards.
- From the Hazard Board tab on your site, click Import.
- Select the site you want to pull hazards from, or select "All Sites."
- Search for or select the hazards you want to import.
- Click SAVE.
Note: When importing, selecting a single site will show all its hazards. Selecting "All Sites" will show all hazards added across your organisation in the last 90 days.
Managing and Reporting on Your Hazard Board
From the Admin Console, you can track acknowledgments and export your board for meetings or audits.
How to View Individual Hazard Acknowledgements
- Log in to the Admin Console and navigate to the site's Hazard Board tab.
- Click the Acknowledgements Button (person icon) to the right of the hazard.
- This will download a CSV (spreadsheet) file listing who has acknowledged that specific hazard and when.
How to Export Your Hazard Board
You have two export options:
- PDF Export (Print Summary): This export is a clean summary of all hazards on your site and their acknowledgment counts. It's perfect for printing and displaying in a site office.
- Open your Hazard Board in the Admin Console.
- Click the View Icon (eye) in the top-right corner.
Click Print to download or print the PDF.
CSV Export (Detailed Log): This export provides a detailed spreadsheet of all individual acknowledgments, including who acknowledged which hazard and at what time.
- Open your Hazard Board in the Admin Console.
- Click the Acknowledgements Icon (person with a checkmark) in the top-right corner to download the full CSV.
Note: Hazards set to "Draft" will not appear on the PDF export, but will still be included in the CSV data.
Viewing the Hazard Board Summary (Dashboard)
You can see a live summary of the 10 most recently added hazards from your main Dashboard. This widget will show you:
- Risk Impact Score
- Hazard Description
- Site Name
- Status
Appendix: Hazard Board Field Definitions
Here’s a breakdown of what each field means when you are adding or editing a hazard.
- Order By: Sort your Hazard Board view by the time hazards were added or by their risk level.
- Only show live Hazards: A toggle to hide or show hazards that are not currently active.
- Description: The name of the hazard, pulled from your pre-set list (which can be customised in Resources).
- Status - Draft: The hazard is saved but not visible to mobile users or on the PDF export.
- Status - Live: The hazard is active, visible on the mobile app, and will appear on the PDF export.
- Status - Live Until: The hazard is live until the end date you set. After this date, its status automatically changes to "Not Live."
- Status - Not Live: The hazard is no longer active on the mobile app but remains in your records and will appear in the PDF/CSV exports as part of the site's history.
- Hazard Categories: Used to group hazards (e.g., "Working at Height," "Hazardous Substances"). These are not customisable.
- Control Measures: The steps taken to mitigate the risk. You can select multiple controls and customise the available options in your Resources.
- Residual Risk Impact: The risk score after control measures are applied.
- PPE Requirements: Select the required PPE from the list. You can add your own custom PPE by typing it into the "add other PPE" field.
- Images: Upload photos of the hazard or the control measures.
- About: A history log showing who created and last updated the hazard.
