Adding Subcontractors

You can add new subcontracting companies from the Admin Console either individually or via bulk upload.

Adding a Single Subcontractor

Use this method when adding an individual subcontractor company to your system.

Step-by-Step Instructions:

  1. Log in to the Admin Console - Access your account via computer
  2. Navigate to the Suppliers Tab - Located in the main navigation menu

  3. Click the Orange + Add Button - Found in the top right corner

  4. Select "Add New" - Choose this option for a single subcontractor
  5. Fill in the Details - Complete all required fields marked with an asterisk (*)

  6. Save - Click Save to create the subcontractor profile

Important Note: This does not give anyone access to your account. This process is like creating a new contact.


Uploading Bulk Subcontractors

If you have multiple suppliers or contractors and already maintain a list in Microsoft Excel or CSV format, you can save time by using the bulk upload feature.

Capacity:

  • Upload up to 1,000 subcontractors at once

Step-by-Step Instructions:

  1. Prepare Your File — You only need to add the Required Fields (Supplier name and Type)
  2. Log in to the Admin Console

    Access your account via computer

  3. Navigate to the Subcontractors / Suppliers  Tab

    Located in the main navigation menu

  4. Click the Orange + Add Button

    Found in the top right corner

  5. Select "Bulk Upload"

    Choose this option to upload multiple records

  6. Upload Your File

    Follow the prompts to complete the upload process





Subcontractor Settings

Customise your subcontractor management experience to match your business terminology and approval workflows.


Customising Labels

You have the freedom to customise the name of your Subcontractors page to suit your specific needs. For example, change it from "Subcontractor" to "Contractor," "Vendor," or any label that matches your business terminology.

Step-by-Step Instructions:

  1. Log in to the Admin Console

    Access via computer login

  2. Go to My Business

    Select this option from the main menu

  3. Navigate to Settings

  4. Scroll to Supplier / Subcontractor Settings

  5. Change the Text
  6. Click SAVE

Linking Subcontractors to Users

To give your subcontracting company's staff access to Site App Pro (e.g if they need to use the Mobile App), you need to set them up as Users and link them to their subcontractor company profile.

Prerequisites:

  • Set up your Supplier/Contractor profile first

Step-by-Step Instructions:

  1. Go to Team & Users

    Access this section from your Admin Console

  2. Edit or Add a User

    Click the Pencil icon to edit an existing user, or add a new one

  3. Fill in User Details

    Complete all required personal and credential information

  4. Navigate to the Subcontractor Section

    Scroll down to the subcontractor linking area

  5. Choose the Relevant Subcontractor

    Select from your existing list or click "Add New"

  6. SAVE

    The user is now linked to the subcontractor profile

Important Notes:

  • The number of subcontractor users/staff you can add depends on your subscription pack
  • User limits are displayed in the summary section of the Staff & Users tab
  • When using Staff List answer types in forms (Select From or Multi-Select from Staff), you'll see the Supplier/Contractor name listed next to the Staff Member

Site Access for Subcontractors

Assign specific sites to particular subcontractors to streamline organisation and ensure they work only on relevant assigned sites.

Without this step, your subcontractors will not see any sites.

Assigning Sites to Subcontractors

Step-by-Step Instructions:

  1. Log in to Your Admin Console

    Access your account via computer

  2. Click on Sites

    Navigate to the Sites section

  3. Click the Pencil Icon

    Select the site you want to configure

  4. Go to the Subcontractors Access Tab

    Locate this tab within the site settings

  5. Select the Subcontractor

    Choose which subcontractors should have access

  6. Save

    Your site access settings are now configured


Export your Supplier List:


Do you need a list of your Suppliers, Equipment or Staff? You can export this list from your Administration Console


When you export your Supplier, Equipment or Staff list it's exported to a CSV file. To do this: 

  1. Log in to the Web Console (computer login) 
  2. Go to Suppliers / Subcontractors
  3. Click the Export icon 

  4. Your CSV file will download to your device
