The AI summary feature lets you generate an instant analysis of any Form Report in Site App Pro. It reads the completed form responses and produces a structured summary, highlights trends and anomalies, and displays three charts — giving you a quick way to spot patterns across large volumes of completed forms without manually reviewing each one.
Note: This feature requires a plan with AI Form Report enabled. Contact your Customer Success representative if you're unsure whether your plan includes it. The summary works best for reports containing tens or hundreds of completed forms over several weeks or months.
Generating an AI summary
Log in to the Admin Console
Navigate to Reports → Form Reports
Select your desired date range using the date filter in the top right corner (required before you can view a report)
Click View Report against the form you want to analyse
In the report, click Summarise with AI
The summary will generate and display in the same window.
What the summary includes
Summary A plain-language overview of the form responses across the selected date range — useful for quickly understanding the overall picture before diving into the detail.
Top 4 trends The most consistent patterns identified across completed responses — for example, recurring answers, common outcomes, or regular activity at particular sites.
Top 4 anomalies Responses or patterns that stand out as unusual compared to the broader data — helpful for flagging anything that may need follow-up.
Data visualisations Three charts are included to support the written analysis:

Switching between the report and the summary
Once an AI summary has been generated, use the back and forward arrows in the report header to switch between the original Form Report and the AI summary. You don't need to regenerate the summary each time you switch.
Filtering and regenerating The AI summary remains available when you apply filters to the Form Report. If you want a summary based on filtered data — for example, a specific site or date range — apply your filters first and then click Summarise with AI again to generate a fresh summary from the filtered results.
Exporting the summary
To save or share the AI summary:
Click the printer icon in the top right corner of the summary window
This opens your browser's print dialog — select Save as PDF to download a copy
Troubleshooting
"View Report" is greyed out or unavailable A date range must be selected before you can view a report. Click the date filter in the top right corner and choose a preset range (last 7 days, last month, last 3 months, etc.) or use the calendar to set a custom start and end date, then apply.
A form isn't appearing in the Form Reports list Form Reports only shows completed forms. If a form was started but not fully submitted, it won't appear here.
To resolve this, ask the staff member to:
Log in to the Site App Pro mobile app
Navigate to Saved forms
Find the form and complete any remaining required questions before submitting
