Activity types and what they do (reference) (SAP 5.1)

For: Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

Activity Type

What the admin configures

What the assignee provides / does

What marks the Activity complete

Upload – Certificate, Ticket or Licence Proof

Document Name; Instructions (default: "Please upload a clear copy of your certificate, ticket, or license. You may also need to include the back view."); Save to Location (a folder in the Resource Library)

Uploads the certificate/ticket/licence file (image or document), including the back view if needed

After a file is uploaded, the activity is intially marked as completed.

But it goes through the document approval process.

The approver approves the document, and the activity is marked as complete.

If it's rejected, the activity reflects "proof rejected" with the reason displayed.

Accept or Sign a Policy

Select Policy (from Resource Library — must already be uploaded); Valid For (Forever or a set Period in days/months/years); Require Signature toggle

Accepts/reviews the policy; adds a signature if Require Signature is on

When the assignee has opens the document and has accepted and added their signature (if signature has been requested)

Online Training – In-App

Select a Quiz (only Forms with Quiz mode turned on appear — one quiz per Activity); Instructions; Valid For; Resit Stand-down Period (wait time before retaking after a fail)

Completes and passes the quiz

Passing the quiz

Online Training – External Provider

Training Course Name; Instructions; repeatable course block — Training Provider Name + Training Course Booking URL (multiple course options can be added, no confirmed upper limit); no Valid For field observed at this level

Completes the external course at the provider's URL (picking one of the listed options), then uploads proof of successful completion

Uploading proof of course completion, as stated on-screen: "Proof of successful course completion must be uploaded."

The uploaded certificate's own expiry date may be used to set the Activity's validity, since there's no Valid For field to set manually here.

In-Person Training – In-House

Training Name; Instructions (default: "Once attendance has been confirmed, this activity will be marked as complete."); Valid For

Attends the training in person

Attendance is marked by an elevated user (Tablet Manager, Manager or Admin) from the Mobile App.

The training recipient cannot interact with the activity pill at all or mark themselves as having attended.

The elevated user will log into the mobile app -> training page > click the in-person attendance button in the top-right hand corner, select the activity from the list of activities then tap the name of the individual to mark their attendance.

Once marked as attended, the activity is completed.

A person can be marked as attended multiple times without creating duplicate completions of the activity.

In-Person Training – External Provider

Training Course Name; Instructions; repeatable course block — Training Provider Name + Booking URL + an optional Duration field (purpose not explained during the walkthrough); no Valid For field observed at this level (not explicitly confirmed absent, but none was mentioned, consistent with the Online External Provider type)

Attends the external course (picking one of the listed options), then uploads proof of completion

Uploading proof of course completion, as stated on-screen: "Proof of successful course completion must be uploaded."

The uploaded certificate's own expiry date may be used to set the Activity's validity, since there's no Valid For field to set manually here.

Complete Form

Select a Form (any form — not limited to Quiz-mode); Instructions; Valid For

Submits/completes the form

Explicitly stated on-screen: "Completing the form... will mark [the] activity as complete." Since it's not a quiz, there's no grading or resit options.

Review Resource

Select a Resource; Instructions; Valid For; Require Signature toggle

Reviews/reads/watches the resource; adds a signature if required

Explicitly stated on-screen: "Reviewing the resource will mark the activity as complete."

This requires the user to open the document from the app explicitily. When they close the document pop-up, the activity is done.

Naming behaviour

  • Manual name required: Upload, Accept/Sign a Policy, both Training Course types

  • Name auto-inherited from the selected item: Online Training – In-App (takes the quiz's name), Complete Form (takes the form's name), Review Resource (takes the resource's name)

Signature behaviour

Where Require Signature appears (Accept/Sign a Policy, Review Resource), it's a standalone signature capture — not a signature applied inside the document itself. Admin Console users can view everyone who's signed via a separate menu.
