Some requirements are really about one thing: a specific, time-limited certificate. This use case sets up a Working at Heights requirement where the certificate is what actually matters — a quiz is included as a nice-to-have refresher, but isn't required to mark the person compliant. It also shows how to have the requirement's expiry follow the certificate's own expiry date automatically, rather than setting a fixed renewal period yourself.

Creating the requirement

  1. Go to Training, open the Requirements tab, and select Add Requirement.

  2. Name it "Working at Heights" and give it a short description.

  3. Set the Reporting Category to High Risk Work.

  4. Turn on Validity Period is inherited from an Activity. This means the requirement itself won't have a fixed expiry — it'll follow whichever activity's validity ends soonest, which in this case will be the certificate.

Adding the activities

  1. Add your first activity and set its type to Upload Certificate, Ticket, or Licence Proof. Name it "Working at Heights Certificate," add instructions for what to upload, and choose a Save to Location folder.

  2. Turn on Auto Complete Requirement for this activity. This is the key step — it means uploading and approving the certificate alone is enough to mark the whole requirement complete, regardless of whether anything else on the requirement has been done.

  3. Select Add Activity and set the second activity's type to Online Training – In-App. Select a Working at Heights refresher quiz, and set it to Valid For: Forever.

  4. Leave Auto Complete Requirement off for the quiz — it's there as a nice-to-have, not a blocker.

Note: upload-type activities like the certificate always derive their validity from the certificate's own expiry date — there's no separate Valid For field to set here. This is exactly why we turned on inherited validity in step 4: it lets the requirement's own expiry follow that certificate date automatically.

What you do after they submit their document

Once the document is submitted by your team, you need to approve or reject the document from Resources > document approvals.

We will scan the document for the expiry date shown in their uploaded file. Click the resource to review, make any adjustments you see fit, then Approve the upload.

Assigning the requirement

  1. Under Assignment, select Assign, choose the relevant Job Role (for example, Roofers), and set it to Required.

  2. Change the requirement's status to Active.

How this plays out

Once someone uploads their Working at Heights certificate and it's approved, the requirement shows as complete immediately — even if they've never touched the quiz. The quiz stays visible and available to them, but it's never a blocker. The requirement's expiry is then driven entirely by the certificate's own expiry date, so when it's time to renew, it's because the certificate is expiring — not because of a separate schedule you set up yourself.
