Using the training register (SAP 5.1)

For: Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

The Register gives you a person-by-person view of training compliance — one row per person, with every requirement shown as a column, so you can see exactly where each individual stands.

What the register shows

Each cell in the grid shows that person's status against that requirement:

  • ✓ Complete

  • ✗ Overdue

  • Yellow — Not started

  • Purple — Pending approval

  • Blank — Not applicable (the requirement doesn't apply to this person)

The filters (covered below) reveal more detailed states than the grid alone, including In progress, Pending assessment, Expiring, and Expired.

Viewing requirement details

  1. Click any requirement column header to open the requirement's detail panel.

  2. Here you can see the requirement's status, on-hold indicator, and use the three-dot menu to Edit, Duplicate, or Assign more people.

Note: if you set a requirement's status to Archived, this cannot be undone directly. The only way to recover it is to Duplicate the archived requirement, which creates a new copy pre-filled with the same activities and assignments.

Viewing a person's requirement details

  1. Click any cell where a person and a requirement intersect.

  2. This displays the status of that particular requirement, expiry dates, completion dates, what activities were done

This view is read-only. To mark someone compliant, either the person needs to complete the activity themselves, or an admin can complete it on their behalf — see Completing training on someone's behalf.

Filtering and searching the register

  1. Use the search bar to search by columns and rows, by requirement name only, or by assignee name only.

  2. Apply the Status filter for a more granular view than the grid alone: Not started, Overdue, In progress, Pending approval, Pending assessment, Completed, Expiring, or Expired.

  3. Filter by Reporting category (categories set at group level show a small dot).

  4. Use More filters to narrow by Assignment type (Required & Critical / Required / Optional), Job role, User group, Expiry date, Completed date, or Completion reason.

  5. Use the View filters on the right to switch between Compliance status, Validity view, Competency level, and Full records.

  6. Click Clear all to reset every filter at once.

Understanding completion reason

A person's completion may be marked with one of the following reasons, visible when the Completion reason filter or Full records view is used, and when viewing someone's requirement pop-up from the Register:

  • Excused from completion — The user was exempt from completing this requirement because they existed prior to the creation of the requirement. The "auto-exempt" switch for this requirement was turned on.

  • On their behalf — applied by an admin, manager, or verifier from the register, a person's training profile, or the mobile app.

  • From an imported record — the person already had matching evidence (a completed form, resource, or uploaded certificate) from before the requirement was created, or the record was brought in through a bulk import.

Exporting the register

  1. Open the three-dot menu and select Download as Excel.

  2. The exported file includes a header block (organisation name, view mode, who exported it and when, and the active filters) followed by the full person-by-requirement grid, plus a completion-percentage summary for each requirement.

Note: Print as PDF is coming in a future update and isn't available yet. However, you can export an individual's training record to PDF.
