Setting up competency assessments (SAP 5.1)

For: Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

Requires Competency Assessment adds an extra layer to a requirement, beyond just completing its activities: a qualified assessor needs to formally sign off that the person can actually do the job, not just that they've uploaded a certificate or passed a quiz.

Note: competency assessments are only set from the mobile app — there's currently no way to record or change one from the Admin Console.

Setting up a requirement with a competency assessment

  1. When creating (or editing) a requirement, turn on Requires Competency Assessment in the requirement details step.

  2. Add the activities you want the person to complete first (for example, a quiz and a certificate upload) — the assessment step only becomes available once every other activity on the requirement is completed and approved.

Recording an assessment

  1. On the mobile app, as an Admin, Manager, or Tablet Manager, open the person's training record.

  2. Once their other activities are complete, you'll see the assessment listed as one more step to action. Tap it.

  3. Choose the appropriate Competency Level from the list (for example, "Needs Supervision," "Can Work Unsupervised," or "Can Train Others" — see Training settings for how these are configured).

  4. Save the result.

The requirement is now marked complete for that person, showing their current competency level.

Changing an assessment later

You can update someone's competency level at any time — there's no lock-in once it's set.

  1. Open the person's training record on mobile.

  2. Find the relevant requirement and tap into it.

  3. Select a different Competency Level and save.

This is useful as someone's ability changes on the job — for example, moving them from "Needs Supervision" to "Can Work Unsupervised" once they've proven themselves, or back to "Needs Retraining" if a performance issue comes up.

Note: nobody is automatically notified when a competency level changes — not the person themselves, and not anyone else. If you need someone to know their assessment has changed, tell them directly.
