Managing training across your group (SAP 5.1)

How group admins create requirements at group level, distribute them to organizations, and view organization-level training through the group admin console.

For: Group Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

If you manage several organizations under a single group, the group admin console lets you create training requirements once and share them across those organizations, rather than setting them up for each organization individually. This article covers how training works at group level, how to distribute requirements to your organizations, and how to view training localized to a single organization.

The Training tab in the group admin console

Open the group admin console and select Training from the left-hand navigation. You'll see three sections:

  • Matrix — displays your group-level requirements against your people. This stays empty until you've created group-level requirements.

  • Requirements — where you create and manage group-level requirements using the Add Requirement button.

  • Register — comes pre-configured with an organization filter, and is populated as soon as organizations in your group have training.

  • Settings — where you create and manage group-level Reporting Categories and Competency Levels

Viewing a single organization through the Register

The Register works the same way as the organization-level register: people are listed down the rows, and requirements run across the top. The difference is that the Register lets you view the requirements localized to one organization at a time, so you can check on an individual organization's training without leaving the group admin console.

Use the organization filter to choose which organization to display. You can only view one organization at a time.

Note: The organization filter only lists organizations that have access to the Training feature. If an organization doesn't appear, it hasn't been given training access yet.

Assigning a requirement

Once you've created a group-level requirement, there are three ways to assign it to your people.

From the Matrix (quickest)

  1. Find the requirement in the Matrix as a column

  2. Select the cell where the requirement column meets the row for a Job Role, User Group, or person

  3. Choose the assignment type: Required and Critical, Required, Optional, or Not Required

From the Requirements page

  1. On the Requirements page, find the requirement. Either select the three

  2. select anywhere along the requirement row to open it and select the three dots in the top right

  3. Select Assign

  4. Use the search bar to find and select the assignee

From the Assignment tab

  1. On the Requirements page, select the three dots next to the requirement and choose Edit

  2. Go to the Assignment tab and select the orange Assign button

  3. Select the assignee from the list and mark it as Required, Optional, and so on

  4. Select Save

Distributing requirements to your organizations

When you create a group-level requirement and make it Active, by default it flows down to all organizations in your group so they can begin assigning it to their people straight away. This suits a corporate or franchise setup where every organization operates similarly.

If you'd rather control which organizations receive a requirement — for example if you template requirements but don't want every organization to use them — you can manage this per organization:

  1. Go to the Organizations page and find the organization

  2. Select the pencil icon to open it in detail

  3. Select the Organization Requirements tab

  4. In the table, use the Selected column to choose which group requirements this organization receives. An orange tick means the organization receives it; deselect to remove it

Note: Each change in the Organization Requirements tab is saved straight away. Deselecting a requirement means the organization no longer sees it.

Important: If you don't want your requirements to automatically flow down to your organizations by default, please contact support to adjust your group's configuration.
