Training settings - (SAP 5.1)

Learn how to customise your Reporting Categories and your Competency Levels

For: Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

Use Training settings to manage the two building blocks that shape how requirements are organised and assessed: Reporting categories and Competency levels.

Reporting categories

Reporting categories group your requirements for filtering and reporting in the Matrix and Register. New organisations start with a default set of categories already in place, so you don't need to build your list from scratch.

Default categories for Site App Pro: Onboarding, Health & Safety, Site Compliance, Equipment & Plant, Competency & Assessments, High Risk Work.

Managing categories

  1. Go to Training from your Admin Console

  2. Open Training settings and go to the Reporting categories section.

  3. The Used by column shows how many requirements currently use each category.

  4. To rename a category, edit its Category name directly.

  5. Click Add category to create a new one.

Important: deleting a category that's in use archives every requirement under it, along with their activities and assignments. This can't be undone. Type "delete" to confirm you understand, and consider reassigning those requirements to a different category first if you want to keep them active.

Competency levels

Competency levels are used when a requirement has Requires competency assessment turned on. Once someone finishes all the required activities for that requirement, their status becomes Pending assessment, and a qualified supervisor or admin assigns them a competency level from here.

Managing competency levels

  1. Open your Admin Console

  2. Go to Training > settings and go to the Competency levels section.

  3. Select Add levels to create a new competency level

  4. Select Delete to remove that competency level (this won't work if you're using group level competencies)

  5. Each level has a name (for example, "Level 1 – can train others"), and a colour tag from the available palette.

  6. Click to add a custom level if the defaults don't fit your organisation.

Turn on External Requests

If you want to manage training for people external to your company, be sure to turn on Send training to staff without a login as external requests.

Note: default competency levels exist at both group and organisation level. At organisation level, you cannot edit group competency levels. Organisation competencies will not appear in the group admin console.
