Group Reporting - Form/ Hazard Analysis

The Analysis Tab is a powerful tool that enables you to track trends, correlate answer and form types and understand how your business is handling its health & safety over the past 12 months.


In this article, we will explore the three key sections of the Form/Hazard Analysis Tab. These are Completed Forms, Answer Analysis, and Hazard Analysis. Each of these can be used to find out vital information across your company.

Completed Forms 

The Completed Forms Tab works very similarly to the Analysis Tab that can be found at the Account Level. You can set one filter and then you can  drill down into this data and get more specific data out. All of this information can be downloaded into CSV Format. 

This is broken down here:  

Date Picker   Select the time frame you want to view the data for
Form or Chart   Select the output you are after, a chart (graph) or a table of data
Time Frame   Refine the time frame to display data by either month, week or day
Form Picker   Pick the type of form data to display from the options Form Category, Form Name, Form Type, Organisation (for groups) and Site
Chart Format   Choose the style of chart that best represents the data - Column, Curve or Line
Form Filter   A dropdown will show the different types, categories and forms to refine your results further
Legend   A dynamic legend that will update depending on the data being returned

How to use this:

You may want to find out how many  Incidents and Near Misses have occurred across your Group. You may then want to dig into specific Accounts and then the specific Sites with the highest Incidents/Near Misses. To do this: 

  • Open the Form/Hazard Analysis Tab 
  • Select the Form Category to Incidents
  • Click on Drill Down 
  • You can now Filter this by specific Organizations/Accounts 
  • You can Drill Down into this further and look into specific Forms or specific Sites that had the most Incident Forms Completed 
  • You can then click on the download button to save this information into a CSV 

The Answers Analysis Tab 

The Answers Analysis Tab lives directly under the Completed Forms Answer Analysis. It enables you to drill into specific Answer Types that are used frequently - this means that you can track trends across your account with ease. 

Question Selector Select a general question type to show data for, this will collate across all form types/categories
Form Selector Select a specific form to return data
Question Selector Select which question in the selected form to show. Required if 'Form Selector' is being used
Date Picker Select the time frame you want to view the data for
Time Frame Refine the time frame to display data by either month, week or day
Form Picker Pick the type of form data to display from the options Form Category, Form Name or Form Type
Chart Type Choose the style of chart that best represents the data - Column, Curve or Line
Form Filter A dropdown will show the different types, categories and forms to refine your results further
Legend A dynamic legend that will update depending on the data being returned

    How to use this: 

    • Open the Form/Hazard Analysis Tab 
    • Scroll down to the Answers Analysis Section
    • Select the Question Type or Form and the specific Question Type you would like to drill into 
    • You can then select the Form Category for example - then you can drill down into this further
    • You can then search for specific Answer Types - this can be useful when looking for common Incidents that occur or looking into certain Sites that fail inspections etc. 
    • Once you have done that you can then drill into the specific Sites etc. to get a better gage of where these things are occurring 
    • Continue to Drill Down or export that information into a CSV Template 

    Drill Down on Analysis

    Drill down on your trends even further using the  drill-down button. This Drill Down button will appear once you have set up your graph and have selected a filter to view. You can create endless reports and export each to a CSV or take a screenshot to save the image. 

    For Example: 

    You may want to see the number of Near Miss forms filled on a site

    1. Log in to the Web Console
    2. Go to the Form/Hazard Analysis tab
    3. Select the Date Range
    4. Select Form Categories
    5. Click on the Incidents filter
    6. Click on the Drill Down button
    7. Select the Form name tab
    8. Filter to the Near Miss Form
    9. Click on the Drill Down button to see which Sites had these incidents
    10. Click on the Site tab
    11. Filter the Site of your preference

    This report will now show you how many incident forms were completed on this particular site.


    Hazard Analysis 

    The final section of the Form/Hazard Analysis Tab is the Hazard Analysis Section. This is broken into two sections - the Hazards Count and Hazard Category Section. 

    Hazard Count 

    You can filter Hazards loaded across all the Accounts in your Group. You can filter per Organisation, per Site, per Hazard Category, per Hazard Status, and per specific Date Range. Just like the Completed Forms and Answers Analysis, you can continually drill down into this. 

    • Select specific Organisations/Accounts and hit Drill Down again
    • You can then filter by Hazard Category - select as many as you need
    • Drill down into Specific Sites to see which have higher rates of Incidents or are failing Site Inspections etc. 
    • Export this into a CSV Template or Drill Down further

    Hazards by Category 

    You can also dig into the Hazards that have been loaded into your account by category. You can filter by all, live, live until, not live, draft. This is a super easy way to view which types of hazards are the most common across your group.
